Senior Payroll Administrator

The primary responsibilities of the Senior Payroll Administrator are; processing, and reporting of payroll data, as well as maintaining the accuracy and completeness of payroll records and timesheet database;  handles more complicated transactions and works with Payroll Supervisor in setting policies and procedures, communicating with outside vendors and responding to internal employee problems, questions, and timecard and time tracking issues.

 

Reporting Relationships:

      Reports directly to Payroll Supervisor LHH

      Teams with all LHH and Adecco HR, Accounting & Finance personnel

 

Direct Reports:

      None; however, acts as a lead knowledge resource on more complex transactions.

 

Major Responsibilities

Key Accountabilities

      Coordinate/confirms employee additions/changes with HR & input required changes into the payroll system

      Process payroll accurately and on a timely basis

      Review complete payroll for accuracy prior to final calculation and confirm, also afterward review final product

      Answer payroll, timecard, and ADP Workforce Now (WFN) questions and resolve issues especially those related to more complex transactions.  Supports the payroll management

      Process all PTO requests and calculate all unused PTO upon employee’s termination

      Coordinate reports through ADP, custom reports and iReports

      Ensure child support, IRS and other garnishments are properly deducted and processed through ADP WFN

      Maintain accurate and orderly individual payroll files

      Ensure that each employee has a W-4 on file, TD1, and direct deposit documentation

      Research employee inquiries including employment verification, workers compensation, 401K, among others

      Run Queries and reports as requested by Finance or HR

      Process Timesheets from ADP

      Handle high volume of filing in a digital environment

      Handle high volume of employee and manager calls to resolution

      Maintain accurate filling system

US Payroll

      Verify new hire/change information entered by HR

      Enter tax, and additional information into ADP WFN

      Calculate any changes to salaries

      Assist with the balancing and reconciliation of W2 and other tax forms

      Upload benefit changes submitted

      Upload commissions, Concur expenses, engagement bonuses, severance

      Enter hours not submitted via ADP WFN, special pay and bonuses

      Run reports, submit preview, verify preview

      Send total page of preview for current payroll and previous payroll along with current worksheet to Payroll Supervisor for approval

      Process quick calculations and special tax calculations

      Record Third Party Sick

      Once payroll has been processed by ADP run reports and submit to appropriate departments. 

      Download payroll analysis – journal entry

      Manage PTO Payouts at end of year

Canadian Payroll

      Enter new hire information

      Calculate vacation term and add carry over

      Complete and Submit payroll to ADP Canada (WFN)

      Processing and remittance of Records of Employments to Service Canada (ROE)

      Assist with the balancing and reconciliation of T4 and RL1 Tax Forms

      Assist with benefits reconciliation and payroll deductions

      Download hours and accruals from EZLM – submit to ADP Canada

      Verify preview and give ADP Canada final approval to process, after approvals

      Download journal entry, run reports, and send to appropriate departments

      Support Canada HR team with special reporting

Other

      Filing/Resetting passwords/Special Projects

      Manage high volume of paperwork, filing, reports, emails (including a Payroll Support inbox)

      Quarterly Worksite Reports

      Monthly worksite reports

      Back up to Payroll Supervisor

      Maintains all Payroll related Systems and Organization Controls (SOC) and confirms for compliance

Required Experience/Characteristics

      Associates degree or higher or equivalent work experience

      Hands on experience processing multi-state payroll in fast paced ever changing environment for over 1,500 employeesMust have ability to handle complex payroll issues
